How is an agent different from a chatbot?
A chatbot mainly answers. An agent may use tools, retrieve evidence, create a task or prepare a change under defined permissions.
An AI agent takes on one clearly defined role, from processing enquiries to searching documents or preparing material for human review.
A designed, connected and tested agent, including operating rules, documentation, training and follow-up support.
We define one task and the agent's responsibility.
We identify information sources, rules and exceptions.
I build the first version and test it on real cases.
After refinements, we deploy it, train the team and hand it over.
General assistants are useful for ad-hoc work. A custom solution adds a defined trigger, permissions, systems and review points.
| ChatGPT / Copilot | Custom solution | |
|---|---|---|
| Who starts it | a person writes a prompt | an email, form or invoice can trigger it |
| What it may do | depends on the user | defined steps, rules and exceptions |
| What it works with | whatever a person inserts | your systems and approved sources |
| Control | depends on user diligence | approval points and action logs |
| Result | varies with each prompt | a consistent process with controlled quality |
An agent is useful when one fixed sequence is not enough. It can consult several sources, choose a next step under defined rules and prepare a result for human review. Its start, finish, permitted tools and stop conditions must all be explicit.
The design separates what the agent may suggest, what it may safely execute and what a person must approve. I also cover access, knowledge sources, logs, failure states, test cases, operating cost and team hand-over.
The categories can be combined, but each should solve a different part of the problem.
| Option | Use it when | Main output |
|---|---|---|
| AI audit | You need to choose a priority | Opportunity map and first step |
| AI agent | The task needs context and tool use | A controlled role with human oversight |
| Automation | The steps follow clear rules | A connected and monitored flow |
| Application | Standard software does not fit | A focused interface and data model |
| Consulting | You face one concrete decision | Independent recommendation |
| AI search visibility | The site needs stronger eligibility and content | Technical and editorial plan |

It can handle low-risk steps. Sending, publishing, payments, deletion and permission changes normally stay behind human approval.
Only the selected sources it is permitted to access. We define what may be read, stored and sent to another service before deployment.
It must pass agreed normal, error and exception cases, with a clear owner for monitoring and recovery.
The company remains responsible for outputs it approves and sends to a customer. Prices, discounts, complaints and contracts therefore stay behind human approval by default. I correct configuration defects I caused within the agreed scope.

An agent is not an infallible autonomous employee. The design includes boundaries, tests and points where a person makes the final decision.
